1. Who we are

EasyPlanus ("EasyPlanus," "we," "us," or "our") is a property-management software platform. EasyPlanus is a service operated by AltairVL LLC, the entity legally responsible for the personal information processed through the platform (the "data controller").

2. Scope of this policy

This Privacy Policy explains how we collect, use, disclose, and protect personal information when you:

  • Visit or use the EasyPlanus web application at https://app.easyplanus.com;
  • Are invited to, register for, or use an EasyPlanus account (as office staff, property owner, tenant, technician, or administrator);
  • Communicate with us by email or other means; or
  • Otherwise interact with our services (collectively, the "Services").

This policy applies to all users of the Services. Where an organization (for example, a property-management company or agency) uses EasyPlanus to manage data about its owners, tenants, properties, or staff, that organization is responsible for the data it inputs, and EasyPlanus acts as a service provider/processor on its behalf for that data. See Section 11 (Organizations and third-party data).


3. Information we collect

We collect the following categories of information. Some are provided directly by you or your organization; some are generated automatically when you use the Services.

3.1 Account and profile information

  • Email address
  • Full name
  • Telephone number
  • Role within an organization (for example: office staff, owner, tenant, technician, administrator)
  • Organization affiliation (the account/tenant you belong to)
  • Authentication credentials (passwords are stored only in hashed form by our authentication provider; we never store plaintext passwords)
  • Preferred language

3.2 Property and operational information

  • Property records (for example: addresses, references, status, and related details)
  • Records, notes, requests, and other operational data entered into the platform in connection with managing properties

3.3 Information about owners, tenants, and other third parties

Depending on how an organization uses the Services, the platform may store information about property owners, tenants, prospective tenants, vendors, technicians, or other individuals, which may include names, contact details, and records related to tenancies, maintenance, or property management. This data is typically provided by the organization using EasyPlanus rather than by the individual directly. See Section 11.

3.4 Payment and financial information (where applicable)

Where billing, rent collection, or other payment features are offered, we (or our payment processors) may process billing details and transaction records. We do not store full payment-card numbers on our own systems; payment processing is handled by third-party payment providers. (This category may not be active during the current pilot phase and is described here for transparency about potential future processing.)

3.5 Documents and uploaded content

Where document features are offered, the platform may store files and documents uploaded by users (for example, agreements, records, or supporting materials).

3.6 Automatically collected technical information

  • Log and usage data (pages or features accessed, actions taken, timestamps)
  • Device and connection data (for example, IP address, browser type)
  • Authentication/session data (tokens used to keep you signed in)
  • Data collected via infrastructure providers (for example, our content-delivery and hosting providers)

3.7 Communications

  • The content of emails and other messages you send to us, and our responses

We do not intentionally collect special categories of sensitive personal information (such as health, biometric, or government-ID data) unless an organization chooses to store such information in free-form fields; we discourage this and are not responsible for data an organization elects to input outside the intended use of the Services.


4. How we use information

We use personal information to:

  • Provide, operate, and maintain the Services;
  • Create and manage user accounts, including invitations, onboarding, authentication, and account recovery;
  • Enable property-management functionality (managing properties, owners, tenants, technicians, and related records);
  • Communicate with you, including sending transactional emails such as invitations and password-reset messages;
  • Provide customer support and respond to inquiries;
  • Maintain the security and integrity of the Services, including detecting, preventing, and responding to fraud, abuse, and security incidents;
  • Comply with legal obligations and enforce our Terms of Service;
  • Improve and develop the Services, including analyzing usage to enhance functionality; and
  • Where applicable in the future, process payments and provide billing-related features.

We rely on the following bases for processing, as applicable: performance of a contract with you or your organization; our legitimate interests in operating and improving the Services; compliance with legal obligations; and your consent where required.


5. Transactional and marketing communications

  • Transactional messages (such as account invitations, password resets, and important service notices) are necessary to provide the Services. You cannot opt out of these while you maintain an account, because they are required for the platform to function.
  • Marketing messages, if any are sent, will include a way to unsubscribe. We will honor opt-out requests as required by applicable law, including the U.S. CAN-SPAM Act.

Our transactional emails are sent from noreply@easyplanus.com via our email-delivery provider.


6. How we share information

We do not sell your personal information. We share information only as described below:

  • Within your organization: Data is visible to authorized users of the same organization/tenant according to their roles and permissions.
  • Service providers / sub-processors: We share information with vendors who help us operate the Services, bound by contractual obligations to protect it. These currently include, among others: hosting and infrastructure (cloud hosting and content delivery); authentication and database services; email delivery services; and payment processing services (where applicable in the future).
  • Legal and safety: We may disclose information if required by law, regulation, legal process, or governmental request, or where necessary to protect the rights, property, or safety of EasyPlanus, our users, or others.
  • Business transfers: If EasyPlanus or AltairVL LLC is involved in a merger, acquisition, reorganization, or sale of assets (including a future transfer of the EasyPlanus business to a successor entity such as EasyPlanus LLC), information may be transferred as part of that transaction, subject to this Privacy Policy.

7. International data transfers

The Services are operated from, and data may be processed in, the United States and other countries where we or our service providers operate. If you access the Services from outside these countries, you understand that your information may be transferred to, stored, and processed in jurisdictions that may have different data-protection rules than your own. We take steps intended to ensure your information receives an adequate level of protection.


8. Data retention

We retain personal information for as long as needed to provide the Services, maintain your account, comply with our legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we take reasonable steps to delete or de-identify it. Organizations may request deletion of their data as described in Section 10; certain records may be retained where required by law or for legitimate business purposes.


9. Security

We use technical and organizational measures designed to protect personal information, including encryption in transit (TLS), restricted network access to our backend, hashed password storage, role-based access controls, and leaked-password protection at sign-up and password change. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential.


10. Your rights and choices

Depending on your location and applicable law, you may have rights to:

  • Access the personal information we hold about you;
  • Correct inaccurate or incomplete information;
  • Request deletion of your information;
  • Object to or restrict certain processing;
  • Request a portable copy of certain information; and
  • Withdraw consent where processing is based on consent.

To exercise these rights, contact privacy@easyplanus.com. We will respond as required by applicable law. Note that where EasyPlanus processes data on behalf of an organization, we may direct your request to that organization, which controls the data.

For account profile data (name, telephone), you can also update much of your information directly within the EasyPlanus application once that functionality is available in your account settings.


11. Organizations and third-party data

When an organization (such as a property-management company) uses EasyPlanus to store information about owners, tenants, technicians, or other individuals:

  • The organization is responsible for ensuring it has the right to provide that information and for complying with applicable privacy laws;
  • EasyPlanus processes that information on the organization's behalf and according to its instructions and these terms;
  • Individuals whose data is held by an organization should direct privacy requests to that organization in the first instance; we will support the organization in responding.

12. Children's privacy

The Services are not directed to children under 18, and we do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact privacy@easyplanus.com and we will take appropriate steps to delete it.


13. U.S. state privacy notices

Depending on your state of residence (for example, under Florida law and other U.S. state privacy laws as applicable), you may have additional rights regarding your personal information, including the right to know, access, correct, and delete personal information, and the right not to be discriminated against for exercising these rights. We do not sell personal information. To exercise applicable rights, contact privacy@easyplanus.com.


14. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, provide additional notice (such as by email or an in-app notice). Your continued use of the Services after changes become effective constitutes acceptance of the revised policy.
